If you run your restaurant on Toast, someone has probably offered you xtraCHEF. This page compares it with RestaurantMate. Every xtraCHEF fact below comes from Toast's own pages and is current as of October 2026. Links are at the end. We say where xtraCHEF is the better choice too.
The short version
xtraCHEF is Toast's back-office cost product. It reads your invoices, tracks the prices you paid, costs your recipes from your most recent purchase prices and syncs to your accounting software.
RestaurantMate checks today's price at each of your vendors that has a website, before you order. It fills each vendor's online cart from one cart, and you check out. After delivery it reads the invoices and costs your recipes from what you paid. It also syncs your Toast sales.
Toast quotes xtraCHEF prices through a sales rep. RestaurantMate is free for your first 60 days, then $99 a month per location.
What xtraCHEF is and what it costs
Toast bought xtraCHEF in 2021. Toast's help center says the product is "exclusively available in the US."
It comes in two tiers:
- Essentials covers invoice automation, accounting sync, class and location tracking for your books, food cost reporting, an ingredient price tracker, and vendor and order management.
- Pro adds recipe costing and inventory counts.
xtraCHEF gets its prices from your invoices. You upload or send in each invoice, it reads each line, and its Price Tracker shows how prices changed across the invoices you've already recorded. Recipe costing uses "the most recent purchase prices for your ingredients" by default.
For ordering, you build a purchase order for each vendor inside xtraCHEF and send it to your rep by email.
What xtraCHEF costs
Toast does not publish a price. You ask a Toast sales rep for a quote. Other websites list different monthly numbers and fees, and we left them out because we couldn't confirm them. Ask the rep about setup fees, contract length and the price of each tier.
Where xtraCHEF is stronger
Your Toast data is already there. xtraCHEF pairs each recipe with a Toast menu item. Toast's recipe costing works with your Toast menu data, so the link between a recipe and what you sold is already there.
One company and one bill. You add xtraCHEF from Toast Shop, next to your POS. When something goes wrong, there's one company to call.
Actual vs theoretical (AvT) reports. Theoretical usage is what your recipes and Toast sales say you should have used. Actual usage is what your counts say you used. The gap is called variance, and it usually points to waste, over-portioning, theft or a counting mistake. xtraCHEF builds this report from your Toast data. RestaurantMate doesn't have an AvT report today.
Accounting sync. Both tiers sync your invoices to accounting software. RestaurantMate doesn't sync to accounting software or pay bills. If your bookkeeper depends on that sync, it may decide the question for you.
Difference 1: you see today's price before you order
xtraCHEF learns a price when the invoice arrives. By then the food is in your walk-in and you owe the money. RestaurantMate looks up the price the night before you order.
The RestaurantMate device is a small box that sits in your restaurant. It signs in to each of your vendors' websites with your own logins. (Vendor sites block logins from cloud servers, so it uses your restaurant's internet.) Your logins are stored privately, used only to sign in to that vendor and never shown back. Every night the device re-checks the price of each item you buy, on your account, at your prices. RestaurantMate then puts the same item from different vendors on the same unit, such as price per pound or price per each, so you can see who is cheaper. It works with the vendors you already buy from, and nobody has to join a network. If we haven't connected one of your vendors yet, we build it for you, usually within days.
An example with made-up numbers for yellow onions:

Valley Fresh is 8 cents a pound cheaper than Heartland, even though Heartland's bag is twice the size. At 100 pounds a week, that's $8 a week on one item. A price tracker that reads invoices shows you this after you've already bought from Heartland.
After you buy, RestaurantMate reads the invoice and costs your recipes from the price you paid, down to POS modifiers such as "extra cheese" and "no bun." xtraCHEF also costs recipes from your invoices, so here the difference is setup and what you see next to the cost. You send your recipes in any format (a photo, a PDF, a spreadsheet) to your agent or our team. RestaurantMate sets them up, clears the obvious ones and asks you only about the unclear ones. Prices come from what you paid, and the AI never guesses a price. Each recipe also shows when an ingredient is cheaper at another of your vendors, and how much that would save per plate.
The price check covers vendors with a website. Vendors that only email you send their invoices and price sheets to your RestaurantMate inbox (an address like yourname@mail.rmate.ai), and you keep ordering from them the way you do today.
Difference 2: one cart fills every vendor's online cart
In RestaurantMate you build one order across all your vendors. The cart splits it by vendor and shows each vendor's order minimum. When you press Send, RestaurantMate fills each vendor's own online cart and checks every line against what you asked for. You review each cart and check out on the vendor's site.
xtraCHEF sends a purchase order (the list of what you want, with quantities) to your rep by email. That works with any rep who takes orders by email. Toast's ordering articles don't describe comparing one item's price across vendors before you send.
Difference 3: a published price
RestaurantMate is free for your first 60 days, then $99 a month per location. You don't need a card to start. The RestaurantMate device has a $300 refundable deposit, and one device covers up to two locations. Setup is $0, and we do it with you. You can leave whenever you want.
Toast doesn't publish xtraCHEF prices, so we can't put a number next to ours. For one location, RestaurantMate's first year is 10 paid months at $99, which is $990, plus a $300 deposit you get back. Get the xtraCHEF quote in writing, with every tier and fee, and compare.

"It's already in my Toast account"
This is a fair point, and it's the best reason to pick xtraCHEF. It uses your Toast data directly. It uses the same login and lands on the same bill. RestaurantMate is a second tool, with a second login and a second bill.
RestaurantMate reads Toast too. It syncs your Toast sales through Toast's nightly data export. You ask Toast to turn the export on, then add a key RestaurantMate sends you in Toast Web. You never share your Toast password, and RestaurantMate only reads your data. Because the export runs nightly, your sales in RestaurantMate run through yesterday. Your sales come in by item, so your food cost (COGS, what your food costs you) is measured against what you actually sold. Labor comes in from 7shifts or Homebase.
So you don't have to choose between your Toast data and a price comparison. If your bookkeeper relies on xtraCHEF's accounting sync, you could also keep xtraCHEF and add RestaurantMate for buying. That costs more each month, so price both before you decide.

Who should pick which
xtraCHEF is the better fit if:
- you want everything inside Toast, on one bill
- your accountant needs invoices synced to your accounting software
- the actual vs theoretical report on Toast sales is the number you run your kitchen by
- you buy almost everything from one vendor, so there's little to compare
RestaurantMate is the better fit if:
- you buy from several vendors, such as a broadline distributor (one big supplier that carries most of what you need), a club store and a produce house, and want to know who is cheaper before you order
- you want each vendor's cart filled and checked for you
- you want a published price you can see before you talk to anyone
- you're on Toast or SpotOn, or you'd like us to add your POS
What to check in xtraCHEF reviews and quotes
If you're reading xtraCHEF reviews before you decide, check the date on each one. Toast has owned the product since 2021, so older reviews may describe a different version. Look for comments on how long invoices take to show up, how often line items need fixing, and which tier the reviewer had.
Before you sign, ask the Toast rep:
- Is there a setup or onboarding fee?
- How long is the contract, and what happens if I cancel?
- Does a second location cost the same?
- Which features need Pro?
A RestaurantMate customer's numbers
Miguel runs two restaurants in Los Angeles. RestaurantMate has cut his food purchases by about 10%, and by 20 to 30% on some items where he switched vendors, and his manager gets back 4 to 5 hours a week.
